CLUB POLICIES
(Appendix A to Club By-Laws)

This document shall exist as an appendix to the By-Laws of the Arlington Duplicate Bridge Club (ADBC, or the "Club"). It is intended to describe Club policies and procedures that guide ongoing Club business and activities, and it shall be consistent with and in support of the Club By-Laws. This document shall be kept current, and changes must be approved by the ADBC Board of Directors. The Board may appoint an individual or a committee to administer the Club Policies document, as deemed appropriate.

  1. Free plays may be awarded by the Board of Directors to ADBC members for exceptional service to the Club.
  2. Rent charged for classes that are not sponsored by the Club will be at the discretion of the Board of Directors.
  3. All special committees may be formed, as needed, by the Board of Directors. All special committees may be dissolved by the Board of Directors.
  4. Vendor or sales displays shall be permitted within the Club facilities if approved by the Board of Directors.
  5. ADBC will endeavor to provide as many ACBL-sponsored special games as possible during the year to allow players access to more master points and to support the ACBL.
  6. The Club will support Unit 183 whenever possible by providing support at Unit tournaments, hosting Unit events, co-hosting special events or games, and any other activities as agreed to by the ADBC Board of Directors.
  7. All new ACBL members will be processed through the Club secretary, or new member information will be provided expeditiously to the secretary, in order to keep current records of new members for both the Club and ACBL.
  8. A $1.00 discount will be issued to players who attend games that do not make for lack of attendance. The discount may be used at any Club game.
  9. If a player is given a free play for filling in to even out table count or as a guaranteed partner at a game and wins, the player is still entitled to the free play given for the win.
  10. The club may be open after regular bridge sessions if the reason is approved by the board and a responsible club member as authorized by the board is in attendance.
  11. All unscheduled special games must be approved by the board of directors.
  12. The $.25 charge per cup of coffee is waived; the Club will furnish coffee to paying players.
  13. When not enough players show to hold a session scheduled, the director is to be paid a $15 trip fee.
  14. Within a short time after a player has obtained life master status, a life master party will be held at the studio; the club to pay the playing fee or fees for that player and to provide free coffee for that player. The club will pay expenses up to $25.00 for the party. Requests for additional expenses may be submitted to the board for approval prior to the costs being incurred.
  15. The studio is intended for organized bridge activities only. Use of the studio for other purposes must be submitted to the Board for approval.
  16. It is standing policy for the club to be closed for its regularly scheduled games during local tournaments. Specifically, the club will be closed during regional and national tournaments held locally (within the DFW metroplex). The club will be closed Friday through Sunday for Unit #183 and Unit #176 sectionals. On an exception basis only, the club may opt to hold specific games while local tournaments are being held, based on member requests and board approval. All planned club closures will be advertised well in advance on the Club website.
  17. No boards, chairs, tables, heaters or kitchen equipment are to be loaned to individuals without prior board approval.
  18. The club policy is that no one other than the director shall have access to game percentages until start of the last round.
  19. Only two psychs per player per session are permitted. The director will decides what constitutes a psych if there is a complaint.
  20. In the event of the death of a club member, the Club will send a card to the family.
  21. The Club will have as many special games and events as possible, with a “special event game” once per month at a minimum.
  22. A copy of recent and current approved Board meeting minutes will be posted on the Club website; the Board will endeavor to post minutes within a week after the meeting is held.
  23. ADBC is a Zero Tolerance Club and will adhere to the Zero Tolerance principles set forth by ACBL.
  24. A monthly calendar will be maintained with hard copies available at the Club and information maintained on the Club website.
  25. ADBC has a frequent player program; any player will receive one free play after participating in 10 games in one calendar month (up to the value of a regular card fee for the game chosen).
  26. Board members having already served the first year of their 2-year term of office will be given first opportunity to retain the position they held during their first year of Board service.
  27. The Club President and Secretary will be responsible for managing the Suggestion Box and are the only individuals with keys to the box. If submitter requests a written response, it will be forthcoming within 10 days of receipt.
  28. A list of director duties will be posted at the Club with personal copies provided to each game director. Once a year, at a minimum, an education and info-sharing session will be held to orient directors, explain expectations and responsibilities, answer questions, and insure all ADBC game directors are following the same guidelines.
  29. The free play policy and information regarding table requirements for free plays will be posted at the Club.
  30. ADBC will offer a “members play free” game at least twice per calendar year; the Board will specify which games.
  31. When an individual plays at ADBC for the first time, a free play will be given for use at a later game.
